Service Point for Research Data Management
Research data management (RDM) involves the planning, implementation and evaluation of all work aimed at keeping the data generated in academic research accessible, reusable and verifiable for the long term and independent of the data generator. The FAIR principles are a useful guideline for achieving these objectives.
Research data management is defined by the German Research Foundation, among others, as an integral component of good academic practice, with a growing number of research-funding organizations stipulating it as a condition for project approval.

Our service point was set up in October 2023 to support research data management at the University of Applied Sciences Erfurt. It is part of the BMBF-funded FDM-HAWK project across the state of Thuringia. At the University of Applied Sciences Erfurt, it is closely linked to the pilot project on scientific research data management at the Research Centre for Horticultural Crops (FGK) and collaborates extensively with the Service Centre for Research and Transfer.

We are happy to provide all researchers at the University of Applied Sciences Erfurt with advice on research data management (RDM) and, if necessary, refer you to specialists within our network. You are welcome to contact us if you have any questions about the following aspects of RDM, regardless of your subject area or prior knowledge:
- creating a data management plan
- curating and annotating research data
- finding and citing research data
- publishing research data
- licences and persistent identifiers
- backup and archiving of research data

The objectives of the FDM-HAWK project include recording and analysing how research data is currently managed at the University of Applied Sciences Erfurt and identifying research needs (personnel, software and hardware resources, advice, training, information materials). This will form the basis for developing services that are tailored to the research needs at the University of Applied Sciences Erfurt.

The pilot projects at the participating universities are an integral part of FDM-HAWK. These projects are developing, testing and analysing research data management solutions for a variety of research disciplines. Their findings are shared within the network and will be used as models for research projects in the relevant disciplines.
As part of the scientific pilot project, a data management concept is being developed and a modular Laboratory Information Management System (LIMS) is being introduced at the Research Centre for Horticultural Crops (FGK). The focus of this project is on securing raw and derived data, as well as transferred and self-created descriptions for generating derived data. The data will be made available to the funding body and for a course module via a cloud system.

FDM-HAW Competence Cluster Jena-Erfurt-Nordhausen-Schmalkalden (FDM-HAWK)
FDM-HAWK was founded in 2022 and is funded by BMBF (the Federal Ministry of Education and Research). In cooperation with the Thuringian Competence Network for Research Data Management, the Thuringian universities of applied sciences are developing coordinated technical, organizational and professional RDM structures. The specific requirements of the universities are reflected in practical needs analyses, concepts and evaluations in pilot projects.

Thüringer Kompetenznetzwerk Forschungsdatenmanagement (TKFDM)
Das TKFDM wurde 2018 gegründet und befindet sich in der Aufbauphase. Es ist Ansprechpartner für Forschende aller Thüringer Hochschulen im Bereich Forschungsdatenmanagement. Dies umfasst alle Aspekte des Umgangs mit Daten, die während des Forschungsprozesses entstehen.
Das TKFDM vernetzt die an den Thüringer Universitäten (Universität Erfurt, Technische Universität Ilmenau, Friedrich-Schiller-Universität Jena, Bauhaus-Universität Weimar) angesiedelten Beratungsstellen zum Forschungsdatenmanagement und stellt seine Services allen Thüringer Hochschulen zur Verfügung. Es bietet Beratung und Schulungen zu allen Fragen rund um das Thema Forschungsdaten an.
Open Access Publishing
The Berlin Declaration defines "open access" as unrestricted and free access to academic information, including its use and dissemination, with proper acknowledgement of authorship. Unlike publications following the traditional subscription or licensing model, OA publications are immediately freely available online without financial or technical barriers.
The university library can assist you with all questions relating to electronic publishing and open access. We provide advice and support on the topics of OA publication channels, OA publication venues and OA publication fees.

It is possible to publish free of charge on the institutional repository and publication server Digitale Bibliothek Thüringen (DBT/Digital Library Thuringia). This refers to both first and second publications. The university library handles these entries.

Funding
Using central publication funds, the University of Applied Sciences Erfurt helps to fund OA publications through agreements with specific publishers. These services can be used by members of the University of Applied Sciences Erfurt.

Spearheaded by the German Rectors' Conference, the DEAL has concluded Germany-wide licensing agreements with the major academic publishers Springer Nature and Wiley that include OA publishing rights in addition to access to the content of academic journals.
Corresponding authors of the University of Applied Sciences Erfurt are entitled to publish open access in most journals of these two publishing houses. When it comes to publication fees, a distinction must be made between hybrid journals and gold open access journals.
The agreements with Springer Nature and Wiley include the following:
Springer/Nature
In hybrid journals there are no additional fees for authors ("open choice"). The publication fees are already included in the contract fee with Springer, which is paid for by the University of Applied Sciences Erfurt through the university library.
In gold open access journals ("fully open access"), additional publication fees are charged (partly discounted).
The fees for gold open access publications are not centrally funded, but they can be covered by the university library upon request. In this case, please contact us before submitting your publication.

Wiley
In hybrid journals, no additional fees are charged to authors ("hybrid open access"). The publication fees are already included in the contract fee with Wiley, which is paid for by the University of Applied Sciences Erfurt through the university library.
In gold open access journals ("fully open access"), additional publication fees are charged (partly discounted).
The fees for gold open access publications are not centrally funded, but they can be covered by the university library upon request. In this case, please contact us before submitting your publication.

KOALA
The KOALA project (German acronym for "Building Consortial Open Access Solutions", led by TIB Hanover), establishes syndicated solutions for funding open access publications.
The publication fees are already included in the KOALA consortium agreement, which is centrally paid for by the University of Applied Sciences Erfurt from university library funds.

Eligibility for funding
- At the time of application, the applicant must be a member of the University of Applied Sciences Erfurt.
- As the applicant, you are responsible for the publication as the "corresponding author".
- Funded publications should be published under an open content licence, e.g. a Creative Commons licence.
- The publication must have undergone peer review.
- Publication should take place in the year of application.
Funding guidelines / non-eligibility
- Publications in pure or hybrid OA journals or OA books (Gold Open Access) are eligible for funding.
- Open access articles/books are funded up to €700 including VAT. Currently, we assume that this funding is subject to tax.
- Provided that the contractual conditions are met, the publication can additionally be republished and archived on the institutional repository of the University of Applied Sciences Erfurt Digitale Bibliothek Thüringen (DBT).
The following are not eligible for funding
- Publications without academic content or publications in so-called "mirror journals" or "predictatory journals".
- Incidental costs such as colour charges, page charges, submission fees, licence fees, archive fees and other administration costs.
- Contributions towards closed-access publications or printing costs.
Submitting an application
In order to submit an application for funding of your open access publication, please use this application form or write us an email with the title of the publication and the eJournal/eBook and information on the status of the publication.
The University Executive Board and the university library regularly review the applications received. Applicants are notified about their decision as soon as possible.
Please note that when submitting an application, you must also include the signed Declaration on the Application for Funding of an Open Access Publication.

Publishing in the Digital Library Thuringia
The Digital Library Thuringia (DBT) is a joint publication platform for Thuringian universities that is free of charge and operates according to the principles of Open Access. The documents published in the DBT are referenced in library catalogues and search engines and archived long-term. As a member of the University of Applied Sciences Erfurt you can publish your publications in the DBT Open Access through the University Library.
Its main focus is on academic publications such as research findings, articles, project and conference papers, reports and others. Theses which have been written by students at the University of Applied Sciences Erfurt can also be published, as can teaching and learning materials.

Final theses can be published on the recommendation of the thesis supervisor if they have been awarded the grade "very good" or "good".
For publication we need:
- PDF/A document with blacked out or erased signature
- Declaration of consent with signatures of the author(s) and supervisor(s)
Please send us the document with the corresponding information to erwerbung@fh-erfurt.de.
Please note that beyond the supervisor(s) and the name of the student(s), the theses do not include any further personal details such as student ID numbers, telephone numbers or addresses.
Once we have received your document and details, the university library will assign a DOI and activate your publication in the DBT. After your thesis has been published in the DBT, you and your supervisor will receive a confirmation email with the relevant citation links.

Academic articles can be published as first or second publications.
When publishing documents in the DBT, please select usage rights for your document. Licence chooser can help you decide which Creative Commons licences to use.
For publication, we require the following:
- your document as a PDF/A
- indication of which Creative Commons Licence you have selected
- 3-5 key words
- your declaration of consent
- an abstract if applicable

Once we have received your document and details, the university library will assign a DOI and activate your publication in the DBT. After your thesis has been published in the DBT, you will receive a confirmation email with the relevant citation links.

ORCID
An ORCID iD (Open Researcher and Contributor Identifier) is a highly personal, 16-digit combination that is created when you register at https://orcid.org/.. It is not dependent on any particular publishing house or institution.
ORCID provides a free international platform for researchers to enter their personal details, publications, academic history and research output. The authors decide independently what information they wish to disclose.
